The problem, briefly

Nothing in the club talks to anything else in the club.

Not because the tools are bad. Because there are five of them, none of them were built for a golf club, and the only thing holding them together is one person with a printout and a very good memory.

The Saturday sheet
Printed at half five and marked up in pen all morning. The only accurate copy is the one on the counter, and it goes in the bin at six.
The four-ball that never paid
They teed off, they had a good day, they left. You find out at month end, and by then the only realistic option is to write it off.
The marshal
A group chat. Pace complaints arrive as voice notes, the photograph of the divots is on somebody's phone, and nothing is on record by Monday.
The halfway house
A cash tin and a notebook. Stock is whatever is left on the shelf when somebody eventually counts it, and the variance is nobody's fault.
The members
A spreadsheet, and a newer version of the same spreadsheet on a laptop at home. Nobody is certain which one the subscriptions were run from.
Month end
The bookkeeper asks what a figure was for. Three people look in three different places, and the answer takes a week and a half.

The sheet is already right, and nobody built it.

Tee times are generated from your operating hours, your slot interval and the length of a round. Change any of the three and the sheet changes with it — including the last tee, so the final flight is in before the light goes.

  • A last tee you can defend. Closing time, minus the round. Eighteen holes at fifteen minutes a hole is four and a half hours; nine holes works itself out separately.Move closing to 17:00.
  • Dual tee, correctly gated. The 10th tee exists on an eighteen-hole course. A nine-hole course shows the 1st only, whatever flag someone has set.Switch to the Academy Nine.
  • It refuses rather than guesses. On a maintenance morning the window is shorter than a round. GreenLink then offers no eighteen-hole tee times at all rather than selling one it cannot honour — while the nine stays open, because the nine still fits.Close at 10:00, then switch to the Academy Nine.
  • Blocks that stay blocked. School, society and league slots are held and never offered as bookable — on the sheet above, that is the two Ashton College flights on the 10th.

07:10The marshal, on a phone

The first flight goes off, and the round starts policing itself.

Teeing off is one action. It records the tee marker each player is actually playing, which sets their playing handicap for the round — and from there the marshal is watching pace rather than filling in paper.

  • The tee decides the handicap. Course handicap is the index against that tee's slope and rating. Four players off four different tees get four different numbers, correctly, without anyone doing arithmetic on a card.Change a player's tee marker.
  • The competition decides the allowance. General play, stroke play, four-ball betterball. The same course handicap, a different playing handicap, and the club is not arguing about it on the first tee.Switch the allowance to 85%.
  • Out of position, not an argument. Time par is fifteen minutes a hole. A flight's position against it is a number the office can see while the group is still out on the course.Tee a flight off, then update the hole a few times.
  • Nobody tees off unpaid. The prepayment gate holds the flight, with take-payment and send-reminder on the same screen — and an override carries the name of whoever authorised it.Open the 07:20 flight.

11:15Pro shop and halfway house

The till knows who is standing at it.

Member lookup and account balance in the same screen as the sale, and a stock ledger that moves as the sale goes through rather than at the next stocktake.

  • Stock that stays true. Sales decrement what is on hand, and a line that drops to its restock level raises a reorder alert there and then — not when somebody notices the shelf is empty.Ring up two Still Waters.
  • Arrears visible before you extend more credit. The operator sees what a member owes at the moment they ask to put it on the account.Attach Aisha Patel.
  • Every tender the club takes. Cash, card, or charge to a member account. A walk-in cannot be billed to somebody else's account, because there is no account to bill.Switch to Walk-in.
  • Cashless is enforced, not suggested. A club running cashless has cash and charge-to-account refused at the server, so the rule holds however the request arrives.Turn on cashless.

13:05On the course

Something happens on the 7th, and the office knows before the marshal is back.

A category, a flight, a hole and a time. That is the whole record — enough to act on now, and enough to answer for six months from now.

  • Two taps, and no free text. Nine categories the club can actually report on. Free text is unsearchable, and by Monday it is unusable.Tap Log an incident.
  • The context attaches itself. The flight, the hole and the time come from where the marshal already is. Nobody types them, so nobody gets them wrong.
  • Evidence, not a camera roll. A photo is optional, stored against the incident, and retrieved through a signed link that expires — rather than living on a personal phone.Turn on Attach a photo, then log it.
  • It ends up somewhere. The office queue, the flight's record and the marshal report. Monday's conversation then has a fact in it instead of a recollection.Send a marshal, then resolve it.

One record per person, whatever they play, with the arrears figure the committee actually asks for sitting on the same screen as the directory.

The books close before you leave.

Five steps in order: resolve the exceptions, generate the batch, reconcile it, export it, keep the trail. Every unpaid booking and unassigned order is on the first screen — not discovered at month end.

  • Fix it where you find it. Mark paid, waive or make complimentary without leaving the list. A waiver is recorded as a waiver against a named person, not as income that quietly disappeared.Resolve the three exceptions differently and watch the journal move.
  • A journal that balances, with VAT split out. Debits equal credits, and VAT is separated per income category rather than bolted on at the end for the bookkeeper to unpick.Step through to Reconcile.
  • Straight out to your package. Sage Pastel, Sage 200 and Xero ZA from an export profile set once — so whoever closes the day is not making accounting decisions at half past five.Export for Xero ZA.
  • Immutable, with a name on it. A correction is a new entry carrying its own author and time. That is what makes the day defensible when it is queried in November.Open the audit trail.

Reporting

A committee asks how the year is going. This answers it.

Set a target for what the club is trying to do — rounds booked, golf revenue, orders, cash collected, active members — over a day, a week, a month, a quarter or a year. GreenLink then measures the club against the share of that target due by today, so being at 80% on the 25th reads as ahead rather than as failure.

Set once, measured continuously. A target belongs to an area and a metric, not to a spreadsheet someone maintains. Change it and every view moves with it.
Pace, not a bare total. A period target is spread across its days, so the club is compared against where it should be today. That is the difference between a number and a decision.
The same figures the day produced. Every measure here comes from the tee sheet, the till and the member accounts as the day was worked — not from a month-end re-keying exercise.
